How to Stay Organized During College Applications

The college application process involves many moving parts, from letters of recommendation, essays, and test scores to the various forms and requirements that constitute the core of the application. To reduce stress and successfully manage the application process, focus on staying organized. The following tips will help you navigate the many components of the process.

1.Create a Spreadsheet 

Whether you use Google Sheets, Excel, or another program, a spreadsheet is a great way to keep everything organized as you research colleges, track deadlines, and manage school-specific requirements. Use columns to reflect the essential information important to the colleges on your list and are reflective of your customized search process.

Common column headings include college name, application deadline, application type (Early Decisions, Early Action, or Regular Decision), required materials, median standardized test scores, and financial aid deadlines.

It’s also important to include specific college requirements, such as supplemental essay questions, major choices, and letter of recommendation requirements. Tailor the columns to reflect your specific college search parameters like undergraduate research opportunities, focus of specific research labs, study abroad options, internship programs, mission statement and history of the school, or alumni network programs. Consider adding columns for “pros” and “cons” to note other details that stood out about a specific college.

Remember, you’ll be researching many colleges, and it is difficult to remember all the important details. Keep organized and detailed notes for ongoing reference. When it is time to write supplemental essays for a college on your list, you’ll be grateful that you took comprehensive notes on all the wonderful details about the college you’ve decided to apply to.

2. Create a Master Calendar

Track your progress using a master calendar that includes specific college deadlines and internal deadlines you set for completing various steps of the application process. Mark major deadlines such as application submissions, financial aid forms, and test dates. Break down each major deadline into necessary smaller tasks. Allow extra time for unexpected delays or revisions, especially for writing essay drafts and obtaining feedback.

Stay informed and monitor updates from colleges regarding deadlines or requirements. Regularly review your calendar and adjust as necessary. Be prepared to shift tasks if needed as you balance your other activities and academic pressures.

3. Use a Dedicated Folder System

Consider using a digital folder system to help keep yourself organized. Set up a main folder labeled “College Applications” and create subfolders for each college you’re applying to. Within each college folder, organize the different types of documents and information needed for a complete application, such as supplemental essays, recommendations, test scores, transcripts, submission process, portfolio requirements, or other specific college requirements.

If you’re working with a counselor or parent, consider sharing the relevant folders to keep everyone on your support team informed and on track.

By staying organized, you can navigate the college application process more efficiently, reduce stress,  and enhance the quality of your applications, ultimately increasing your chances of success!
